Colonial Mail Disk Space & Quotas

1. How do I lower my disk usage and go under my disk quota?

a. Check your mailbox usage by folder(s):

  1. Go to https://amc.gwu.edu/
  2. Login with your Colonial Mail username and password
  3. Click on the Mailbox Usage Button.

The AMC will also show your disk usage by folder and message count for each folder. This will help you identify folders that take up more space than others.

b. Delete unwanted email messages, sent messages and or messages with attachments.

How to Delete Attachments From Messages in Outlook:

If you often receive many email attachments, your Outlook inbox may require a lot of space. Rather than delete the emails, you can move the attached photos and other files to another location. You then can delete the attachments from the emails and still keep the messages.

Save the Attachment to Another Location

  1. Open Outlook and select the email form which you want to save attachments. Go to the "File" menu and choose "Save Attachments" and "All Attachments."
  2. Make sure all of the attachments are highlighted in the dialog box that appears. Click "OK."
  3. Navigate to the space on your computer where you would like to save the attachments. Select it and click "OK."
  4. Insert an external storage device, such as a floppy disk or USB jump drive, and save attachments there if you want to move the files off your hard drive.

Delete the Attachment From the Email

  1. Double-click on the message that has the attachments you want to delete to open it in a window.
  2. Find the attachment you wish to delete under the subject line and next to the word "Attachments." Right-click on the attachment and select "Remove."
  3. Close the email message window. When the dialog box appears asking if you want to save your changes, click "Yes." The attachment is no longer stored with the email message.

c. Empty your Trash folders regularly, especially after you have deleted messages from your INBOX or other folders. You can typically accomplish this by right clicking on the Trash folder icon in your email software and clicking "Empty" or "Delete." 2. How do I request a quota increase?
Faculty, staff and department classifications may request quota increases up to 100 MB. Increases beyond 100 MB are available at a rate of $10 per 100 MB per month. Please see our Quota Increase request page for details.

Quota increases are available to faculty, staff and department classifications only. Disk quotas for other users cannot be increased (not even temporarily). Therefore, it is important that you remain under your disk quota. You will be unable to send or receive email once you exceed it.

3. What are the disk quota allocations?
The disk quotas are set based on the GW NetID account type, as follows:
  • Student: 20 MB
  • Faculty: 50 MB
  • Staff/Research Professional: 50 MB
  • Temporary Staff: 20 MB
  • Faculty Emeriti: 50 MB
  • Visiting Scholar: 20 MB
  • Contractor/Consultant: 20 MB
  • Friends of the University: 20 MB
  • Organization, Student Organization: 20 MB
  • Organization, All Other: 50 MB

If you exceed your disk quota, you will not be able to send mail, or save messages. However, you will be able to delete messages from your account.

Your account will return to normal once you have lowered your disk usage below your disk quota.


4. What happens when I exceed my quota?
You will not be able to send or receive email! you will also get a message from us reminding that you are over (We send weekly messages when you are using at least 75% of your alloted quota, and daily reminders when you are using at least 90% of you alloted quota) of your quota and requesting you to take steps to lower your disk usage.

5. How do I tell if I am over my quota?
you will get an email message from us reminding you that you are over your quota and requesting you to take steps to lower your disk usage. We send these messages when you are using at least 90% of your alloted quota.

6. How do I check my disk quota?
To check your quota/disk usage on the Colonial Mail System, do the following:
  1. Go to: https://amc.gwu.edu/
  2. Log into the Account Management Console using your email password and username
  3. Click on "Mailbox Usage" button to view...your quota information

7. What causes me to be over my quota?
Saving a lot of email, not emptying your "Trash" folder, especially if you are a Colonial Mail user (See FAQ #1 above), saving email messages that contain attachments are major causes of our clients exceeding their quotas.

8. Are the Colonial Mail and Acad quotas the same?
Acad and Colonial Mail quotas are independent of each other. To check your Acad quota, do the following:
  1. Login to Acad via SSH
  2. At the shell prompt, type this command: gwquota and press enter/return
