Archiving Email With Outlook Express 5, Mac OS 9.x

Archiving email helps you manage your disk space usage on the GWMail system by moving messages stored on the server to folders on your computer. Such folders are typically referred to as Local Folders.

The process that follows is simply this: You are going to create folders on your computer (Local) and then drag and drop messages from the GWMail (Remote) to these folder. By default, Outlook Express has local folders in addition to folders for your other email accounts. These folders are located on your computer and not on the server.

Before You Begin
You must ...
  • ... be logged into your GWMail account using Outlook Express 5
  • ... delete any unwanted email messages and/or folders from your GWMail account
  • ... know that you cannot transfer folders from GWMail to your computer. We recommend that you first create folders on your computer and then transfer the appropriate messages to those folders.

Archive Email
1. Create a new Local Folder by clicking File -> New -> Folder Getting Started

2. A new folder will appear under your other folders, initially called "untitled folder." Preferences

3. Rename this folder (in this example, it is renamed "Old IMAP Email"). You can now move email from any IMAP folder to your Local Folder(s). Mail Servers

4. To move email messages, select the messages you want to transfer and drag and drop them to the local folder(s) you created.

5. Repeat steps 1-4 above for the remainder of your folders and messages.


Deleting Unwanted Messages/Folders

We recommend that you delete the message(s) and folder(s) that you have transferred from GWMail to your computer. If you have received a quota warning or are close to your quota, this is particularly helpful in freeing up space on your GWMail account.

To delete messages and/or folders, select the messages (or folders) and click the Delete button or press the Delete key on the keyboard.
