Archiving Email With Outlook For Windows

Archiving email helps you manage your disk space usage on the GWMail system by moving messages stored on the server to folders on your computer. Such folders are typically referred to as Local Folders.

The process that follows is simply this: Connect to GWMail using Microsoft Outlook and then copy folders from GWMail to Personal Folders or sub folders under Personal Folders on your computer.

Before You Begin
You must ...
  • ... be logged into your GWMail account using Outlook via IMAP
  • ... delete any unwanted email messages and/or folders from your GWMail account

Archive Email

On Outlook, the local folders are under Personal Folders and GWMail IMAP folders appear under imap.gwu.edu.

1. Select the folder(s) you want to save from GWMail to your local computer and right click it to display the shown popup menu. Here, I've selected the cmail folder under imap.gwu.edu.

2. From the menu select Move "cmail" ...

3. From the Move Folder window, scroll down and select Personal Folders, and click OK.

The folder and its contents will transfer over momentarily and deleted from the GWMail server.

Deleting Unwanted Messages/Folders

We recommend that you delete the message(s) and folder(s) that you have transfered from GWMail to your computer. If you have received a quota warning or are close to your quota, this is particularly helpful in freeing up space on your GWMail account.

To delete messages and/or folders, select the messages (or folders) and click the Delete button or press the Delete key on the keyboard.
