IMAP Mail with iPhone/iPod touch

This document walks you through setting up iPhone/iPod touch to read your email on Colonial Mail for Faculty and Staff or GWmail for Students and Alumni via an IMAP connection. IMAP, "Internet Mail Application Protocol", allows you to read your mail from multiple computers without transferring any files or messages. Getting your email via IMAP is especially handy when you use several computers or if you travel a lot. POP is not recommended.

BEFORE YOU BEGIN

You will need:
  • a Colonial Mail or GWmail account. See the Account Center if you do not have an email account.
  • a cellular data or local Wi-Fi connection: AT&T's wireless network, public hotspots, a wireless home network, etc.
  • At this time, the iPhone and iPod touch devices are not supported on GWireless (https://vpn.gwu.edu). Please do not attempt to utilize these devices on GWireless, as they can cause issues for other users.

SET UP IPHONE/IPOD TOUCH TO ACCESS COLONIAL EMAIL

  1. On your iPhone or iPod touch's home screen, tap Settings.
  2. Tap Mail, Contacts, Calendars.
  3. Tap Add Account...
  4. Tap Other.
  5. Tap Add Mail Account.
  6. Enter your account information, being sure to use your full Colonial Mail address:
    • Name: Joe Faculty
    • Address: jfaculty@gwu.edu
    • Password: <Colonial Mail password>
    • Description: <any description>
  7. Tap Save.
  8. Tap IMAP - It should be highlighted in the color blue. -- NOT POP
  • For Incoming Mail Server:
    • Host Name: imap.gwu.edu
    • User Name: jfaculty
  • For Outgoing Mail Server:
    • Host Name: smtp.gwu.edu**
    • User Name: jfaculty
    • Password: <Colonial Mail password>
  1. Tap Save

SET UP IPHONE/IPOD TOUCH TO ACCESS GWMAIL

  1. First, make sure you've enabled IMAP in your main GWmail settings:
  • Sign in to GWmail: (Links exist on the HD and MyGW portals.)
  • Click Settings at the top of any GWmail page.
  • Click Forwarding and POP/IMAP.
  • Select Enable IMAP.
  • Click Save Changes.
  1. On your iPhone or iPod touch's home screen, tap Settings.
  2. Tap Mail, Contacts, Calendars.
  3. Tap Add Account...
  4. Tap Other - Do not tap 'Gmail' because archiving and deleting messages will not work as designed.
  5. Tap Add Mail Account.
  6. Enter your account information, being sure to use your full GWMail address:
    • Name: Joe Student
    • Address: jstudent@gwmail.gwu.edu
    • Password: <GWMail password>
    • Description: <any description>
  7. Tap Save.
  8. Tap IMAP - It should be highlighted in the color blue. -- NOT POP
  • For Incoming Mail Server:
    • Host Name: imap.gmail.com
    • User Name: jstudent@gwmail.gwu.edu (Be sure to use your full GWMail address)
  • For Outgoing Mail Server:
    • Host Name: smtp.gmail.com**
    • User Name: jstudent@gwmail.gwu.edu (Be sure to use your full GWMail address)
    • Password: <GWMail password>
  1. Tap Save
  2. Tap your GWMail account.
  3. Tap Advanced
  • Tap Drafts Mailbox > On the Server > Drafts -- NOT On My iPhone > Drafts
  • Tap Deleted Mailbox > On My iPhone > Trash -- NOT On the Server > Inbox
  • Tap Deleted Messages > Remove > Never

AT&T SMTP OUTGOING MAIL SERVER

**Note: The iPhone/iPod touch allows multiple SMTP servers configured per each email account, including using the AT&T SMTP server. However, when using the smtp.gwu.edu server, the username and password must be included as part of the outgoing server configuration since the email is traveling outside of the GW network through the AT&T network. (Without these credentials, the sender is not recognized.) Since the iPhone/iPod touch service is provided by AT&T, using the built-in AT&T SMTP server alternatively works for a successful connection. To alternatively turn on the AT&T SMTP Server:

  1. Tap Settings > Mail, Contacts, Calendars
  2. Under Accounts, tap the account from which you're trying to send mail.
  3. Scroll down to where it says Outgoing Mail Server and tap the box where it says SMTP.
  4. Scroll down to where it says AT&T SMTP Server, and tap it to turn it on.

ADDITIONAL SETTINGS (FOR TROUBLESHOOTING PURPOSES ONLY)

  • Use SSL = ON
  • Authentication = Password
  • Server Port = 993
