Using GW's Public LDAP Service with your Email Client

What is LDAP and why should I configure LDAP service on my email client?

LDAP stands for Light Weight Directory Access Protocol. The GW Public LDAP server is an address book containing names and e-mail addresses of staff, faculty and students of GW. The LDAP server is available to users on the GW network through a LDAP compatible e-mail client.

Instructions using GW's Public LDAP Service server for Microsoft Outlook, Apple Mail, and Entourage for Mac OS X are posted below. Generic settings are also available for unsupported email clients.


Restrictions on GW's Public LDAP Service
  • Available on GW's network only
  • People who have requested a privacy setting on their information through the Registrar or Human Relations will not appear in search results.
  • The only information returned from this directory is full name and e-mail address. Any other directory information should be looked up on the GW Directory at http://my.gwu.edu.
  • The maximum number of entries that the Public LDAP Service displays per request is 50

Microsoft Outlook

1. Open Outlook, click on Tools. Scroll down and click on E-Mail Accounts.

Click on Tools and Scroll to E-Mail Accounts

2. Under Directory, Click on Add a new directory or address book.

Click View or Change exisiting directory or address books

3. Click on Internet Directory Service (LDAP)

Click on Internet Directory Service (LDAP)

4. Under Server Name, type ldap.gwu.edu then click on the More Settings tab.

Under Server Name type in ldap.gwu.edu and click More Settings

5. Click on the Search tab. Enter dc=gwu,dc=edu (without spaces!) in the Search base field. Attention! Notice that there are no spaces in the Search base field.

6. Click Apply, and Finish on the next window.

7. Now you exit (by clicking on File and then on Exit) and restart Microsoft Outlook for the changes to take effect.

8. To use the new settings, compose a new message, and click on the the To ... button

9. You can either use Ctrl-K (hold the Ctrl and K keys down together) at the To: line

OR

From the Select Names window, select your GW's LDAP entry (I called mine GW LDAP), then click on Advanced and then Find... .

Select your LDAP server, and then click Advanced and then Find

10. From the Find window, type in the name of the person or organization you are looking for. I am searching for any account that Contains Suggest as an example. Click OK to perform the search.

11. The search results window will appear as shown below. Select the person or organization and click either To, Cc, or Bcc to add the selected address to these fields. Click OK to return to the new message window.

Select the person from the search results and click on To, Cc or Bcc as needed


Apple's Mail

1. Open Mail application.

2. Click Mail in title bar, scroll down to Preferences.

3. Click on the Composing tab, then click Configure LDAP.

4. Click on the + button. When dialogue window pops up, place a name in the Name field, add ldap.gwu.edu to Server field. Enter dc=gwu,dc=edu (no spaces) into Search Base field. In the Port section place the number 389. Save and exit.

5. When dialogue window pops up, place a name in the Name field, add ldap.gwu.edu to Server field. Enter dc=gwu,dc=edu (without spaces!) into Search Base field. In the Port section place the number 389. Save and exit.

Enter the information as shown, save and exit

6. When you type a name or NetID at the To line while composing, Mail will now query GW's LDAP server in addition to your Apple Address Book


Entourage for Mac OS X

1. Open Entourage

2. Click Tools, scroll down and click on Accounts.

Click on Tools and then on Accounts

3. Click on Directory Service. In the same window, click New.

Click on Directory Service and then click on New

4. Name the account in the Account Name field. In the LDAP server field place ldap.gwu.edu. Click OK to save settings.

Enter any account name and ldap.gwu.edu as the LDAP server


Instructions for Other Email Clients

Use these generic settings to activate directory searches on your email client:

  • Hostname: ldap.gwu.edu
  • Search Base: dc=gwu,dc=edu (without spaces!)
  • TCP Port: 389
