Research -> GWMail Email Transfer with Outlook Express for Windows®

This document walks you through transferring your Research mail to the GWMail system. The basic idea is to:
  1. Connect to GWMail via IMAP with Outlook Express (skip if you have already done so)
  2. Connect to Research via IMAP
  3. Create empty folders on GWMail to transfer Research Mail to
  4. Drag and Drop Messages from Research folders to GWMail folders

BEFORE YOU BEGIN

You will need:
  • A GWMail Account with ample space to move your Research mail to. We strongly urge you to delete mail that you do not need!
  • A Research Account with mail on it
  • Outlook Express for Windows®. Please see http://microsoft.com/download/ if you do not have it on installed on your computer
  • Outlook Express for Windows® configured to connect to GWMail via IMAP. If you have not, please configure your Outlook Express for Windows® to connect to GWMail via IMAP.

Connecting to Research

Follow the steps 1 -> 10 outlined in the Outlook Express IMAP document for GWMail, but make the following changes:

Step 5: Email Address: Use your research email address. For example, I would use ithelp@research.circ.gwu.edu.

Step 6:

  • Incoming Mail Server: research.circ.gwu.edu
  • On Campus Outgoing Mail Server: smtp.gwu.edu
  • Off Campus SMTP Server: Please contact your ISP

Transferring Mail from Research to GWMail

1. Click on Send/Receive to get your mail on both Research and GWMail.

Now we are going to move your research mail over to GWMail. The first step, which you will have to repeat for each folder you intend to copy over, is to create a mail folder on GWMail for your research messages. Right click on imap.gwu.edu and click on New Folder...

2. Type a folder name, and click OK. Here I am creating a folder My Research Messages on GWMail (imap.gwu.edu)

3. Now over to Research: Click once on the Research folder you want to move over so that it is highlighted (shown circled in red). The messages of this folder appear on the right.

4. Click on Edit, and then Select All to select all the messages in this research folder

5. Now, click (once!) and drag and drop the Research messages from the right to the newly created folder on GWMail (My Research Messages in this case).

7. For each folder you wish to transfer over, repeat steps 2-5 for all the message you want moved over to GWMail.
