Mail Filtering For Microsoft Outlook 2000

This document will show you how to create "filtering rules" in Outlook 2000. Filtering can help you organize and manage your email. It can also help in deleting unwanted messages.

In this example, you will learn to create a filtering rule to move messages that contain the word "class" in either the subject or the body of message to the "School" folder.

1. Launch Outlook 2000 and on the menu bar select "Tools", "Rules Wizard". The Rules Wizard window will appear.

Click on "New." A list of rules and their descriptions will appear.

2. Select the type of rule you wish to utilize. In this example, I am going to use "Move Message Based on Content." Click on the rule description "specific words" link. A new window will appear.

3. Enter the word or words to search for in the subject or body of the email. Click OK. This example will search for emails containing the word "class" in the subject or body of the email.

4. Click on the Rule description "specified" link. A new window will appear. Select a folder to transfer your messages to. In this case, I have selected a folder called "School." If need be, you can create a new folder by clicking the "New..." button.

Click OK to see a description of the rules you have just specified.

Click Next.

5. Verify the "condition" for your Rule description. You can add multiple conditions if you choose. Click Next.

6. Select what you would like to do with the emails for your Rule description. Here I have selected to "move it [my messages] to the specified folder." You can also add multiple options if you choose. Click Next.

7. Add any exceptions to the Rule description. Here, I chose not to have any. Click Next.

8. Provide a Name for the rule you have created. Here, I have chosen to call this Rule "Subject Class Folder School." Click Finish.

9. And click OK to activate the rule. Now, all messages with the word "class" in the subject and/or the text of the message will get transferred to the the School folder.
